This Privacy Notice is for information purposes only and no action on your part is required.

 

How does the Fund collect personal information about you?

 

Information is collected from your application form and the two references supplied to support the application or collected when you applied for membership of the Fund.

 

What personal information may the Fund collect?

 

Your contact information, including your name, address, telephone number and e-mail address

Your date of birth

Your signature

Other details that you or a representative acting on your behalf may tell the Fund through correspondence or on a Grant or Loan application

In the case of Permanent Agents (being the person you may wish to nominate to help you with any application) or any other third party representative (including your lawyer or guardian) details including their name, address, signature and any relationship with you.

 

If the Fund does not collect or you do not provide your personal information the Fund may not be able to deal with any application you may make.

 

How the Fund may use your information?

 

In considering any Application you may make

Making payment to you of any Grant awarded

Arranging the loan of a musical instrument

Communicating with you

Advising you of any fundraising or other activities of the Fund

Recording communications with you including telephone calls, e-mails and written correspondence

Complying with the Fund’s legal obligations

Responding to requests for information from law enforcement officials or Government departments

Performing the Fund’s internal business functions including auditing of records.

 

On what basis does the Fund use your personal information?

 

In order to perform its contractual obligations with you

To comply with its obligations

To meet its legitimate interests including auditing its records, communicating with others such as referees in relation to any application you may make, preventing fraud and conducting legal proceedings.

How does the Fund keep your information safe?

 

All hard copies of personal data and electronic documentation will be stored securely.

 

How long will the Fund keep your personal information?

 

Information will be held for 13 months from the end of the application process or the end of the loan period.

After this period the Fund will erase your personal information and archive your personal data so that it is no longer capable of being used without your permission.

 

Who may the Fund share your information with?

 

Referees in relation to any Grant or Loan Application

Our Auditors

The Fund will never sell your information to anyone.

 

Your rights with respect to your personal information

 

To request a copy of your personal information

Request the correction and/or deletion of the same, request the restriction of the processing of it or object to that processing. In the latter cases, this may mean that the Fund will no longer be able to deal with you

Complain to the Information Commissioner’s office if your privacy rights are violated or if you have suffered loss as a result of its unlawful processing.
